Run the whole gym from one screen
A gym lives on memberships that renew every month and a front desk that never stops. Joining, billing, check-in, freezes and failed payments all run themselves, so your team spends the day on the floor and not on spreadsheets.
What gets in the way
- Billing day is a bad day
- Cards fail every month. Someone has to find out who, message them, and remember to check back. We retry on your schedule, message the member, and show you what is left.
- The front desk is a bottleneck
- Check-in by name search, by QR code or on a kiosk tablet. Members who are overdue, frozen or missing a waiver are flagged before they reach the turnstile conversation.
- Freezes, holds and cancellations eat hours
- Plans carry their own rules for freezes, cancellation notice and fees, so staff apply the rule instead of inventing one at the desk.
- You cannot see who is drifting away
- A member who has not visited in weeks is a cancellation waiting to happen. Automations reach out for you, and reports show attendance and retention at a glance.
What you run on it
- Memberships and plans Monthly, annual, term and visit-limited plans, with signup fees, freezes and cancellation rules built in.
- Payment recovery A declined card on the 1st is chased by email, text and push until it is paid. Nobody at your desk has to.
- Check-in Desk, QR code or kiosk. Every visit is recorded and every flag is visible at the moment of arrival.
- Members One record per member: plan, payments, visits, forms and notes, so any staff member can answer any question.
- Waivers and forms Join forms and waivers signed on a phone, stored with the member and re-requested when they expire.
- Automations Reach out when someone stops coming, when a trial ends or a membership is about to finish.
- Multiple locations Several sites, one business: members, plans and reports follow the location switcher.
- Point of sale Sell drinks, merchandise and day passes at the till and tie them to the member.
- Reports Revenue, attendance and retention, without exporting anything first.
A day on the gym floor
-
05:30
Doors open
Early members check in with a QR code. The desk is empty because the kiosk is doing the job.
-
07:10
A card fails overnight
The retry runs, a friendly message goes out with a link to update the card, and the member fixes it from their phone on the train.
-
10:00
A trial member joins
They sign the waiver on their phone, pick a plan, and the first payment is taken. The record is complete before they reach the changing room.
-
13:00
Someone asks for a freeze
The plan's freeze rules apply. Staff confirm it and billing adjusts without a note on a sticky pad.
-
17:30
Peak hour
Check-ins roll in. A member with an expired waiver is flagged at the desk and signs on the spot.
-
21:00
The day closes itself
Follow-ups go to members who have gone quiet, and tomorrow's overdue list is already shorter.
Know every member at a glance
Open a member and see their plan, their payment history, their last visits and the forms they have signed. Staff answer the question instead of finding the person who knows.
- Plan, status and next payment in one place
- Visits, notes and tags
- Signed waivers with dates

Failed payments, handled
The failed payments screen shows who is overdue, where the chase is up to and what happens next. You can step in for one member or let the schedule run.
- Retry days and attempts set by you
- Messages by email, text and push
- A grace period, then freeze, cancel or stay overdue

A front desk that keeps moving
Search, scan or tap. The check-in screen shows who is in and who needs attention, and the same record powers the kiosk.
- Kiosk, QR and desk check-in
- Flags for overdue and missing forms

Questions
Can I move my members across from my current system?
Yes. We help you bring members, plans and schedules across, and billing continues without asking members to start again. Talk to us about your setup and timing.
Do you handle failed payments for me?
Yes. Retries, reminders and the final action all run automatically on the schedule you set. You see every step and can pause the chase for any member.
Can members freeze or cancel themselves?
Each plan decides. You can allow freezes with minimum and maximum lengths, set a notice period and a fee, and members use their own portal within those rules.
Can I run more than one location?
Yes. Locations share one business with their own hours, schedules and reports, and a switcher at the top changes what you see.
Will it carry our own branding?
Yes. Your members see your name, your colours and your studio page, not ours.
